Duties and Responsibilities:

  • Reviews stock level and replenishment details by verifying average monthly usage and identify MIN-MAX quantity along with expiry dates of items and to liaise with the Nursing Unit Manager , zero “0” stock report to ensure the re-order method and procedure is carried effectively and efficiently.
  • Receives and counts stock items and records data on ERP (Oracle) system.
  • Verifies inventory computations by comparing them to physical counts of stock and investigate discrepancies or adjust errors.
  • Supervises cycle count process for items in the sub store and obtain the necessary approvals from the Nursing Directors and Supply Chain on variances to be corrected in the system.
  • Conducts physical inventory of stock i.e. providing instruction and guidelines to the member of inventory count team, obtain necessary system documentation to conduct the inventory and reconciling all the discrepancies that may result after the inventory is taken.
  • Coordinates with supply chain on inventory related issues. Prepares the stock requisition cycle, inventory cycle count and related reports and submits them appropriately.
  • Reports all short dated, damaged, rejected products to supply chain or external suppliers and make necessary follow-up until replacement is received and system transaction re-updated and monitor all the transactions related to under consignments.
  • Monitors system activities to ensure that inventory transaction are efficiently carried out and liaises with Information
  • Technology Department when problem affecting inventory module occurs.
  • Initiates the disposal process for expired items after completing the necessary documentation and follow until Main Store accepts return.
  • Accountable for all the variances occurring in the stores and their management and investigation.
  • Stores items in an orderly and accessible manner in the stock rooms of the unit.
  • Clean and maintain supplies, tools and to ensure compliance with safety regulations in storage areas.
  • Determines proper storage methods, identification and stock location based on turnover, environmental factors and physical capabilities of facilities.
  • Follows all hospital related policies and procedures.
  • Demonstrates compassionate communication skills while providing support and care to the patients, as “the patient is the center of our care”.

  • Perform duties as per the code of conduct requirement and ethical standards as outlined in the HCM policies and guidelines.
  • Complete mandatory education as per the requirement at least one month prior to expiration.
  • Maintain up to date knowledge on information relating to quality and safety, accreditation, policy management and document management systems.

JOB REQUIREMENTS / QUALIFICATIONS :

    Education:

    Business Administration or Post-Secondary in business administration or health management

    Experience:

    1 - 2 years’ experience
